Audit trail

An audit trail is the complete, timestamped record of every action an AI agent takes on a case: what it read, what it decided, what it said to the customer, and what it changed in a back-office system, kept so the sequence can be reconstructed later.

It is not the same as a conversation transcript. A transcript captures what the customer and agent said; an audit trail also captures the reasoning and system actions behind the reply, including which procedure the agent followed and which tools it called. Regulators and internal auditors both check the trail, not just the transcript, when a case gets reviewed.

What must an AI agent's audit trail capture in financial services?

A regulator reviewing an AI-handled case expects more than the words exchanged. The audit trail needs to show which procedure or policy the agent followed, which tools or systems it queried, what decision it reached and why, any guardrail it triggered, and the point at which it escalated to a human, if it did. FCA and PRA supervisory expectations for AI in regulated firms both assume this level of traceability: a firm has to be able to explain, after the fact, why an automated decision was made, not only what was said. That standard sits above a typical customer support tool's chat log, which usually only stores the message thread.

Audit trail vs conversation log: what's the difference?

A conversation log is one input to an audit trail, not the whole of it. The log shows the customer-facing exchange. The audit trail adds the internal layer: the data the agent pulled before replying, the reasoning it used to choose a response, and the back-office action it triggered, such as updating a record or issuing a refund. A firm that only keeps conversation logs can show what was said but not why it was said or what changed as a result, which is the gap an auditor or regulator is most likely to probe.

Frequently asked questions

Who reviews an AI agent's audit trail?

Internal QA and compliance teams review it routinely, and external auditors or regulators request it during a supervisory review or a specific complaint investigation. In both cases, the trail needs to stand on its own without someone from the vendor explaining it verbally.

How long should an audit trail be retained?

Retention follows the same rules a firm already applies to other customer records and regulatory correspondence, which vary by jurisdiction and case type. An AI agent's audit trail should meet the same retention standard as the record it replaces, not a shorter one.

Does an audit trail slow an AI agent down?

No. A well-built agent logs its reasoning and actions as a by-product of how it works, not as an extra step performed afterwards, so the audit trail exists without adding latency to the customer-facing reply.
